Examples of Work

Compile and analyze data for capital program projects, complete monthly reports showing capital program and project funding balances, create and maintain cost reports tracking detailed authority, contract/purchase order commitments and payments for capital projects to provide real time project funding balances. Create correspondence to request increases in capital program authority when grants or donations are received and be backup for requesting increases for operating programs based on receipt of grants. Coordinate and monitor agency fixed asset tracking processes, scheduling deliveries of assets to State Surplus for auctions and requesting for titles and license plates for new vehicles and trailers. Position will create surplus property notices (SPN), scan and upload information into State electronic approval application. Create procurement documentation as needed to assist Agency Buyers. Includes creating purchase orders from contracts and receipting of purchases for payment processing. Assist immediate supervisor with coordination, development, and maintaining instructions/guidelines for specific tasks of the various positions related to accounts payable, fixed assets, procurement and grant overview. Assist Division Administrator, Assistant Division Administrators and Accountants by creating reports/correspondence from relevant information and data. Overnight travel may be required. Perform related work as required.

Hours: 8-5, Monday - Friday.

Job location is 2200 North 33rd.

Qualifications / Requirements

REQUIREMENTS: Post-secondary degree in office management, office support, customer service, administration, accounting or a related area OR One year of experience in office management, office support, customer service, administration, or accounting including use of computer software such as word processing, spreadsheets, presentation and database management OR One year of coursework/training or experience involving research, presentation, or publication in an area related to the programs or functions of the employing agency.

Knowledge, Skills and Abilities

Knowledge of office processes and procedures, administrative support procedures, internal controls, accounting principles and record keeping practices. Working knowledge of Microsoft Office Suite components, Excel, Word, and PowerPoint with emphasis on use of Excel to analyze data. Knowledge of Access desired. Ability to communicate effectively to convey policies and procedures; review/analyze data and communicate recommendations or adjustments if needed based on their research or create reports from results; make accurate arithmetic calculations involving the use of addition, subtraction, multiplication, division, percentage and fractions; accurately post financial data; compile reports and prepare correspondence.
